Backup – EHSConsult Emergency Procedures Flip Charts

I passed out the flipcharts in today’s Health & Safety Committee meeting and everyone was super impressed. Even the CEO commented on them! NICE WORK! Thanks for hanging in there with me.

EHSConsult produces three types of flip charts —
Standard, Vinyl Sleeved, and Interactive:

1. VINYL-SLEEVED FLIP CHART:

A pre-fabricated flip chart containing a tiered series of durable vinyl sleeves, wire coil bound together with a firm plastic backing, drill-holed for hanging. Sleeve inserts are printed on 100# cover white matte or gloss paper.

  • The printed insert pages are replaceable. You can order replacement pages from EHSConsult, or print them yourself.
  • The minimum order for vinyl-sleeved flip charts is 25.
  • Vinyl-sleeved flip charts are available in 12- or 16-page configurations only.
2. STANDARD FLIP CHART:

A sequence of tiered page sizes are printed on 100# cover white matte or gloss paper, and bound together to form the flip chart.

  • Since the pages are bound together, they cannot be replaced.
  • The chart comes standard with a firm, poly backing, wire hanger with thumb notch or a rigid vinyl hanging tab (with a choice of colors), and a clear acetate cover sheet. Optional: rigid vinyl front cover (printable, with a choice of colors).
  • Optional: we can add up to two 8.5″ x 11″ vinyl sleeves to the back of the standard chart in which you can place your own printed content.
3. INTERACTIVE:

EHSConsult also offers an interactive PDF file for you that can be used either as an additional resource when you order printed flip charts, or as a standalone product, that you can access from your phone, electronic pad, or computer. We can implement your customized content, or you can use our generic content (see Generic Flip Chart Content). Click on either sample image file (below) to demo it; or download a file by right-clicking on it, then select “Download Linked File,” to test it on your device(s).

  • Clicking on a topic from the first page (table of contents) of the PDF file navigates down to the content for that topic. You can navigate back up to the ToC page from anywhere in the interactive file by clicking on a “TOPICS” button, placed at the top of each page within the PDF file.
  • The Interactive flip chart includes click or tap web links and auto-dial phone numbers.
  • To use the Interactive PDF file on your iOs device, use Adobe Acrobat Reader.
  • To use the Interactive PDF file on your Android device, you can use one of the following apps:
    • Adobe Acrobat Reader
    • CamScanner
    • DocuSign
    • Fast Scanner
    • Foxit PDF Reader
    • Google PDF Reader
    • Google Play Books
    • Librera

NOTE: The samples below include generic content that may not be fully relevant to all situations, but can be modified to meet your needs.

Explains the positioning of content in the flip chart layout

This video explains the positioning of your content in the flip chart layout. Please refer to this video in conjunction with the template instructions.

Instructions for custom flip chart content submission.
  • Download one of our Microsoft Word templates.
  • Follow the instructions on page 1 of the template. If you are having difficulty filling out the template you can create a flip chart document using these specifications. We often accept already finished content in a Word file, so if you already have your content completed or near completion, just send it to us, and we will assess it. Chances are usually very good that it will work as is!
  • You will receive timely PDF drafts for review.
  • We include up to three complimentary rounds of revisions.
  • Certain factors may result in additional layout time: excess content, content added to original submission, complex pre-formatting.
  • If you need help with the emergency topic contents relative to your type of organization, see “Sample Content for your Customized Flip Chart” (below).
  • Email the completed document to dfi.graphics@verizon.net.
  • NOTE: Please direct your initial inquiries regarding quotes to John Fowler, at ehsconsult@comcast.net.

Estimates can be provided for all types of Flip Charts: you will need the quantity of charts and the number of pages each chart will consist of.

Sample Content for your Customized Flip Chart:

The following is a list of topics that you can use for your own flip chart project.

You may already have additional topics of your own that you would need to include into your flip charts. The content in these topics should serve as effective outlines or starting points for your own content. Since the following content is already formatted, by choosing any of these topics you may be eligible for a discount in the layout and design fees of your flip charts.

The following links (more to come!) are to sample, pre-formatted PDF files with generic content that can be used for specific scenarios. You can choose how the topic tabs will appear in your flip charts.

Design:

More information about the design of our flipcharts.

If you are comfortable formatting your text in Word, then it’s best to use a minimum of styles: headings, subheadings, body text, level-1 bullets, and level-2 bullets. Be as consistent as possible in the use of these styles throughout your content. Following these guidelines will result in the lowest fees for the layout of your content in InDesign.

Your flip chart will contain 11 topics in the 12-page flip chart, and 15 topics in the 16-page flip chart; the first page is reserved for your logo and the title of the flip chart. Topics containing the least content are placed near the front of the flip chart, on the shortest pages, and topics containing the most content are placed near the back, on the longest pages. The topic “headings” appear as footers at the bottom of the pages in large, bold text, making it easy to quickly find the emergency topic you’re looking for.

The colors in our PDF drafts when presented on your computer screen may not exactly match the printed colors in the flip chart. If color matching is important to you, then you may request a printer proof in advance of the final print run. Matching colors for expected results will incur additional fees. Otherwise, please provide EHSConsult with your corporation’s branding requirements (colors, fonts, heading and text styles, etc.).

Graphics

If dealing with the tables in MSWord to place your graphics seems a bit overwhelming, then you may also email images along with clear instructions for their placement into the flip chart. Just be sure to leave enough room in the original table cell for the graphics and your content text. Print-ready JPEG, PNG, TIFF, or PDF files are acceptable; please make sure that your images appear clear and sharp.

Terms:

Important! Read the following terms before ordering your flip charts.

1) PRICING FOR CUSTOM FLIP CHARTS
There are several factors that will determine the price your flip charts:

  • Number of flip charts in your order
  • Style of flip chart (vinyl-sleeved or standard)
  • Number of pages
  • Amount of content (this can only be determined once we have received your content. We typically quote for a nominal amount of content, when only the front of the flip chart pages are printed. Additional content can be printed on both sides of the pages, but will incur additional printing costs, and may result in additional time for layout and design.)

Once we have this information, we can provide you with an estimate.

2) DEPOSIT
A retainer fee of at least half of the initial quote will be required at the onset of your project.

3) CONTENT SUBMISSION
Finalize your content before submitting it to us. If there are to be more than three (3) sessions of edits, and/or significant adjustments to the layout of your content, then EHSConsult may charge for extra time beyond the original quote.

4) LAYOUT/DESIGN FEE
The following, though not a complete list, are some factors requiring an adjustment to your initial quote:

  • The graphics (images or scanned forms/charts) may be too low in resolution for print.*
  • Some tables or forms may require extra formatting.
  • If your content is fairly extensive on certain topics that won’t even fit in the longer pages, then these pages may need to be printed on both sides to fit the content and improve legibility.
  • Content may have extensive grammatical errors or inconsistencies that could be corrected.*

5) CHANGE IN DELIVERY TIME
Deadlines may be changed, resulting in higher delivery fees.

6) COPY EDITING SERVICE
As a complimentary service, EHSConsult’s editors will spell-check, review, and make simple grammatical corrections to your document, if necessary. For more extensive editing, EHSConsult can submit to you a single edited page as a PDF file, for your evaluation, before you decide to commit to this service on the entire document. You will be able to approve or refuse any additional fees to your content at this point. If you do refuse additional services then we will process your document with the content as you have provided it to us.

7) INTELLECTUAL RIGHTS
EHSConsult will generally NOT surrender original Adobe InDesign layout files or artwork to any client for reuse. That includes 1) high resolution PDF files for print, 2) original Adobe InDesign layouts, or 3) illustrations. The client is entitled only to the printed copies of their project. The original artwork or layout files may be purchased from EHSConsult on an exclusive use basis. Original illustrations (i.e., original Adobe Illustrator renditions of maps, etc.) are owned by DFI Graphics (Dan Futoran). The content of the flip charts belongs to the client, and it can be copied and pasted from any low resolution draft copy sent to the client. En lieu of hiring EHSConsult for page reprints or future revisions, it will be the client’s responsibility to reformat their own content for reprints or other uses.

8) DELIVERY
If you choose the vinyl-sleeved flip chart, please allow up to five weeks for delivery; if you choose the standard flip chart, allow up to three weeks for delivery.
